This Privacy Policy describes how Mountain Mentors Society (“Mountain Mentors”) collects, uses, discloses, and protects your personal information (i.e. information that can reasonably be used to directly or indirectly identify you) when you visit www.mountainmentors.org (the “Site”) or otherwise communicate with us online. 

The Site may include links to third-party websites or applications.  If you follow a link to a third-party website or application, the third-party’s privacy policy will apply to your use of that website or application.  Mountain Mentors does not control these third-party websites, and does not accept any responsibility or liability for third-parties’ privacy policies or practices.

By using the Site or applying for our mentorship program, you agree that you understand, accept and consent to the use of your personal information in accordance with this Privacy Policy.  If you do not agree with this Privacy Policy, you must stop using the Site and should not apply for our mentorship program. This Privacy Policy may be revised from time to time without notice to you.  By continuing to use the Site after changes are made, you accept and consent to the changes.

What We Collect

Mountain Mentors may collect the following information from you:

• Your name and email address when you sign up for our newsletter;

• Your name, email address, social media account, and other information you may provide when you contact us directly through email, our contact form, or social media messaging;

• Your name, phone number, email address, city of residence, demographics, preferences, certifications, outdoor experience, interests, availability, payment information, and other information if you apply to our mentorship program;

• Photographs featuring your likeness, if you participate in our events;

• Your name, phone number, and email address if you register for an event;

• Your name, phone number, email address, address, and employment history if you apply for a volunteer or contractor position with Mountain Mentors; and

• Information about your browser, network and device, including your IP address, webpages you accessed prior to visiting the Site, and information about how you used the Site. This information is automatically collected by Squarespace, our hosting provider, through cookies and similar technologies that are downloaded to your device when you access the Site, and is only used by Mountain Mentors to maintain the Site.

How We Use It

Mountain Mentors uses the information we collect:

• To operate, maintain, and improve the Site;

• To provide you with information that you request;

•  To promote and market Mountain Mentors (in the case of photographs of you);

• To send you our newsletter;

• To register you for events;

• To facilitate contact tracing for COVID-19;

• To administer and evaluate your application for our mentorship program or a job posting;

• To operate our mentorship program;

• To maintain a community of past participants;

• To respond to emergencies;

• To enforce the terms of our membership application or this policy;

• As required by law; and

• For any other purpose with your express, informed consent.

We will only use the personal information necessary to fulfill each purpose and will never sell your information.

Who We Disclose It To

Mountain Mentors may disclose personal information that we collect:

• To contractors, board members, volunteers, and third-party vendors and partners to operate the society or fulfill the purpose you provided it for (e.g. our newsletter provider, email provider, hosting provider, program director etc.);

• To our insurance provider, if necessary to maintain coverage or make a claim;

• To your mentee/mentor and other participants in your cohort, if you are accepted into our mentorship program;

• To the public, in the case of photographs of you shared on our website and social media (we may also tag or mention your social media account in the posts);

• If required to respond to a COVID-19 exposure or facilitate contact tracing, to the Provincial Health Office or other agencies;

• To search and rescue, resort staff, health care providers, and other first responders, in case of an emergency;

• To past participants of our mentorship program, if you consent to such disclosure;

• To organizations that sponsor Mountain Mentors with grants and/or funding, if we are required to report on the use of the funds and you have directly benefitted from the grant or funding;

• To enforce the terms of our membership application, bylaws, or this policy;

• In any other situation with your express, informed consent.

Your information may be processed, stored and/or transferred to a foreign country (such as when a vendor’s services are located in the United States), and may be subject to privacy laws that are less comprehensive than Canada’s. 

By submitting your personal information or engaging with the Site, you consent to the transfer, storage, and processing of your information as described above.

How We Protect It

The Site and our electronic communications are protected by administrative, technical and physical safeguards managed by third party vendors such as Google and Squarespace.  However, the electronic transmission of information is never completely secure, and Mountain Mentors cannot guarantee the security of your personal information when it is submitted through email or through the Site.

How Long We Keep It

Except as permitted or required by applicable law, Mountain Mentors will only retain your personal information for as long as it is necessary to fulfill the purpose it was collected for, including to satisfying any legal, accounting, or reporting requirements.

How You Can Correct It

You have the right to request access to the personal information we have collected, and to correct any personal information that is out of date or incorrect.
